At Sutralabs Workshops, transparency and trust matter to us. This page outlines how we operate, handle your information, and what you can expect when we work with your school. We encourage every school principal, teacher, and parent to read through these before scheduling a workshop.

1. Privacy Policy

We collect limited personal information — strictly what is needed to coordinate workshops and issue certificates. We do not collect data for advertising, profiling, or any commercial purpose unrelated to our educational activities.

What we collect

When a school or individual reaches out to us through our website, phone, WhatsApp, or at a workshop, we may collect:

  • Name (student, teacher, or school representative)
  • School name, city, and class/grade of participating students
  • Phone number and/or email address
  • Any message or query shared through the contact form
  • Workshop attendance records (for certificate purposes)

Why we collect it

  • To schedule and coordinate workshops with schools
  • To issue participation certificates to students who attended
  • To respond to questions or booking requests
  • To share updates about upcoming workshops (only if the school or individual has opted in)

How we store and protect it

Data submitted through our website is processed via Web3Forms (for email delivery) and Google Sheets (for our internal coordination records). Both are industry-standard platforms with encryption. Only authorised members of the Sutralabs team have access to this data. We do not sell, rent, trade, or share personal information with any third party for marketing or commercial purposes.

How long we keep it

We retain contact and coordination data for up to 12 months after the last interaction, unless a longer period is needed for certificate records. You can ask us to delete your data at any time.

Your rights

Under applicable Indian data protection guidelines, you have the right to request access to, correction of, or deletion of your personal data held by us. Simply write to us at sutralabsworkshop@gmail.com with the subject line "Data Request" and we will respond within 15 working days.

Cookies and tracking

Our website does not use analytics cookies, tracking scripts, or any third-party advertising tools. We do not track your browsing behaviour.

2. Terms of Service

By using this website or participating in a Sutralabs Workshops session, you agree to the terms outlined on this page.

The free 1-day workshop

The introductory 1-day Experiential & Career Workshop is provided at absolutely no cost (₹0) to the school and its students. There are no registration fees, material charges, or hidden costs. The school is not required to pay anything — before, during, or after the session.

Future programs and pricing

Sutralabs Workshops may offer extended mentorship, advanced workshops, or follow-up programs in the future. If any such program involves a fee, the pricing and scope will be shared with the school in writing before any commitment. Participating in the free 1-day session carries absolutely no obligation to enroll in or pay for any future program. We believe in honest, pressure-free engagement.

Accuracy of information

We make every effort to keep the information on this website accurate and current. However, we reserve the right to update content, workshop structure, or module details as needed to improve the student experience.

3. Workshop Rules & Regulations

These rules are in place to ensure a smooth, productive, and safe workshop experience for everyone involved.

Before the workshop

  • The school must designate at least one teacher or staff member to be present throughout the session
  • The school should inform students and parents in advance about the workshop schedule and activities
  • If any student requires special accommodations (medical or otherwise), the school must inform the Sutralabs team lead at least 24 hours before the workshop
  • The school should provide a suitable classroom, hall, or open area for the session

During the workshop

  • Students must follow instructions given by the Sutralabs team and the supervising school staff
  • Mobile phones should be kept on silent or switched off during the session (unless the school permits otherwise)
  • Students should not handle any demonstration materials or equipment without permission from the team
  • Any disruptive behaviour may result in the student being asked to sit out of a particular activity
  • Students may ask questions at designated times — curiosity is encouraged, interruptions are not

After the workshop

  • Participation certificates, if applicable, will be coordinated with the school within 7 working days
  • The school is welcome to share feedback, photos, or testimonials with us for mutual use
  • Any follow-up enquiries should be directed to the Sutralabs team via the contact details provided

4. Eligibility & Participation

Who can participate

  • The workshop is designed for school students, typically in classes 8 through 12
  • Content and activities are adjusted by the team based on the age group and class level of participants
  • Both government and private schools across India are welcome to request a workshop

Minimum requirements

  • A minimum group size of 30 students is recommended for an effective session
  • The school must provide a covered venue (classroom, auditorium, or hall) with basic seating
  • A designated school staff member must remain present for the entire duration

What the school does not need to provide

The Sutralabs team brings all necessary demonstration materials, equipment, and activity supplies. The school does not need to arrange projectors, laptops, stationery, or any other materials unless specifically discussed beforehand.

5. Photo & Media Consent

During workshops, our team may take photographs and short video clips of the session for the following purposes:

  • Sharing on the Sutralabs Workshops website, Instagram, Facebook, and other official channels
  • Creating visual documentation of our work for outreach to other schools
  • Internal quality review and team training

Opting out

Schools and parents have the full right to opt out of photo and video documentation. If the school does not wish any photographs to be taken, or if specific students should not be photographed, the school must inform the Sutralabs team lead before the session begins. We will fully respect the decision without any questions.

How we use media

  • All photos and videos are used respectfully and only for educational or promotional purposes related to Sutralabs Workshops
  • We do not publish a student's full name alongside their photograph without explicit written consent from the school or parent
  • We do not sell or license workshop photographs to any third party

Removal requests

If any school, parent, or student wishes to have a previously published photo or video removed from our website or social media, they may send a request to sutralabsworkshop@gmail.com. We will remove the content within 7 working days of receiving the request.

6. Safety Standards

The safety of every student is our highest priority. Every workshop is planned and executed with this principle at the centre.

  • All activities and demonstrations are age-appropriate, tested, and follow standard safety practices
  • No hazardous chemicals, open flames, sharp instruments, or dangerous materials are used during any session
  • Every activity is supervised by a trained Sutralabs team member and conducted in the presence of school staff
  • The team carries a basic first-aid kit to every workshop as a precaution
  • In case of any discomfort, illness, or incident, the school's designated staff member and the Sutralabs team lead will be informed immediately

Team identification

Every member of the Sutralabs Workshops team carries an organisation-issued, verified photo identification card. The school is encouraged to verify the identity of all team members upon arrival, before the session begins. Our team typically consists of 5 members, each assigned to specific modules.

Emergency protocol

In the unlikely event of a medical or safety emergency during the workshop, the Sutralabs team will immediately alert the school administration and follow the school's existing emergency procedures. The team does not administer medication or make medical decisions — that responsibility rests with the school staff and the student's family.

7. Cancellation & Refund Policy

Free workshop

Since the 1-day introductory workshop is offered at no cost, there is no payment involved, and therefore no refund applies. Schools may cancel or reschedule without any financial implication.

Rescheduling

We request at least 48 hours' advance notice if a school needs to cancel or postpone a scheduled workshop. This allows our team to plan travel and logistics accordingly. Similarly, Sutralabs Workshops may need to reschedule due to team availability, weather, or other unforeseen circumstances — in which case we will inform the school as early as possible and offer alternative dates.

Future paid programs

If any future program involves a fee, a separate written agreement with clear refund and cancellation terms will be provided to the school before any payment is accepted. No payment for any service is currently collected through this website.

8. Code of Conduct

Sutralabs Workshops is committed to maintaining a respectful, professional, and safe environment at every school we visit.

Our commitments

  • Every team member will treat students, teachers, and school staff with respect, patience, and professionalism
  • All team members will carry valid photo identification and present it to school authorities upon arrival
  • We will follow all guidelines, rules, and instructions set by the host school
  • All interactions with students will be appropriate, supervised, and within the scope of the workshop
  • We will not promote, sell, or market any product or paid service to students during the free workshop
  • The team will leave the venue in the same condition as they found it

What we expect from participants

  • Students should participate with an open mind and respect the team and fellow participants
  • Questions and curiosity are always welcome; disruptive or disrespectful behaviour is not
  • Damage to Sutralabs equipment or materials caused intentionally may be reported to school authorities

Zero tolerance

Sutralabs Workshops maintains a zero-tolerance approach towards harassment, bullying, discrimination, or inappropriate behaviour of any kind — whether from our team members, school staff, or students. Any such incident will be addressed immediately and may result in the session being paused or concluded.

9. Communication Policy

How we communicate

All official communication from Sutralabs Workshops happens through the following channels only:

We do not send unsolicited bulk messages, spam, or promotional calls. If you receive communication claiming to be from Sutralabs Workshops through any other channel, please verify with us before responding.

Response time

We aim to respond to all enquiries within 24–48 hours during working days. During peak scheduling periods, responses may take slightly longer, but we will acknowledge every message received.

Updates and notifications

We may occasionally share updates about upcoming workshops, new modules, or educational resources with schools that have previously worked with us. Schools can opt out of such updates at any time by replying "STOP" or emailing us.

10. Intellectual Property

All content on this website — including text, photographs, the Sutralabs Workshops logo, graphics, and design — is the property of Sutralabs Workshops unless otherwise credited.

  • Workshop materials, presentations, activity sheets, and module designs are original works developed by our team. They may not be copied, reproduced, or distributed without prior written permission.
  • Schools are welcome to mention, reference, or share their workshop experience on their own website, newsletter, or social media. A link back to our website is appreciated but not required.
  • Photographs taken by the school during the workshop are the school's property and may be used as they see fit.

11. Limitation of Liability

Sutralabs Workshops takes every reasonable precaution to ensure that all activities are safe, age-appropriate, and well-supervised. However:

  • Sutralabs Workshops shall not be held liable for any injury, loss, or damage arising from a student's failure to follow instructions given by the team or school staff
  • The host school remains responsible for the general welfare and supervision of its students throughout the day, including breaks between workshop sessions
  • Our team operates under the general supervision and within the premises of the host school — they are not a substitute for school staff
  • Sutralabs Workshops is not responsible for personal belongings of students or school property

For any concern related to workshop activities, the school's administration and the Sutralabs team lead should be contacted immediately during the session.

12. Grievance Redressal

We take feedback and complaints seriously. If any school, parent, student, or teacher has a concern about any aspect of our workshop — whether related to safety, conduct, content, or data handling — they may reach out to us through the following process:

Step 1: Contact us

Email your concern to sutralabsworkshop@gmail.com with the subject line "Grievance" along with:

  • Your name and contact details
  • Name of the school and date of the workshop (if applicable)
  • A clear description of the concern

Step 2: Acknowledgement

We will acknowledge your complaint within 48 hours of receiving it.

Step 3: Resolution

We will investigate the matter and provide a resolution or response within 15 working days. If additional time is needed, we will keep you informed of the progress.
